Advancement Coordinator

We are over 100 years strong and the only all girls, non-sectarian school on the San Francisco Peninsula. Castilleja School educates young woman (grades 6 through 12) to become confident thinkers and compassionate leaders with a sense of purpose to change the world.  Castilleja provides a wonderful work schedule 8:00am to 4:30pm weekdays, over 20 paid holidays (including a paid winter holiday break) and competitive pay and benefits.

We are seeking a friendly person to provide a high-level of support and project management for the school’s Advancement Team. The Advancement Coordinator will play an integral part in the school’s fundraising efforts and overall success of the department. The Advancement Coordinator will work closely with the Advancement Team in helping to coordinate events, provide administrative support, and calendaring. The successful candidate will be an enthusiastic team member who is organized, has high attention to detail, a positive attitude and a resourceful nature that results in the successful completion of a variety of tasks.

Responsibilities:

·      Administrative support for the Director of Advancement, Director of Alumnae Engagement, and Capital Campaign Director

·      Process and organize invoices and credit card reconciliations

·      Support Director of Events and Parent Engagement on planning of events

·      Coordinate with Database Manager on data entry and gift processing

·      Schedule team meetings and provide coordination as needed

·      General administrative support

·      Working with the Development Database Manager, provide accurate data entry and gift processing

·      Prepare correspondence and coordinate mailings

·      Manage and update event RSVPs and RSVP lists

·      Under the direction and in collaboration with the Director of Events and Parent Engagement, provide execution support for Advancement events

·      Work with and provide coordination with vendors, rental companies, Maintenance staff, and Food Service staff

·      Prepare and Book event requests on behalf of the Advancement department

·      Manage invitations and the RSVP process for Advancement department events, via email or phone 

·      Maintain records and provide reports and analysis about the program

 

Essential Duties and Responsibilities:

·      Bachelor’s degree or equivalent experience in a related field

·      A proven record working collaboratively on a team

·      Demonstrated ability to learn quickly and willingness to take direction and collaborate with others

·      Excellent written and oral communication skills

·      Commitment to excellence and best practices

·      Ability to maintain a high level of confidentiality

·      Some hands-on database experience required, knowledge of Raiser’s Edge a strong plus

·      Strong attention to detail and organizational skills

·      Ability to work independently and as part of a team

·      Ability to problem-solve and think creatively

·      Demonstrates initiative and flexibility with long and short-term responsibilities

·      Strong interpersonal skills that would bring value to the Advancement department and the School’s relationships with donors and other Castilleja constituents

·      Ability to multitask effectively under a complex schedule of deadlines

·      Experience with, or understanding of, the culture of independent schools

·      Availability for occasional evening and weekend work
